For a company that sells appliances, machines, vehicles or electronics, the sale is the start of the relationship. Customers call when something breaks, when a warranty question comes up, or when a technician has not turned up. How that call is handled decides whether they buy from you again. An after sales service call centre takes service requests, books technician visits, keeps customers informed and makes sure every complaint is closed. This guide explains how to set one up.
What an after sales service desk handles
| Request | What happens next |
|---|---|
| New service request or complaint | Log the issue, book a technician visit |
| Warranty or AMC question | Check eligibility, explain cover |
| Installation booking | Schedule a visit after delivery |
| Status of an open request | Give an update, escalate if overdue |
| Spare parts enquiry | Check availability, give a timeline |
| Technician calls from site | Confirm address, parts, customer details |
Customers also call dealers and service centres directly. A good setup brings these calls together so nothing is lost between the brand, the dealer and the technician.
The call flow
A service helpline with a short menu
Publish one service number on the product, the warranty card and the website. In Voxdial Contact Center, an IVR sends each key press to its own queue:
- Press 1 to book a service or report a fault.
- Press 2 for the status of an existing request.
- Press 3 for installation.
- Press 4 for warranty, AMC and spare parts.
If you sell several product lines, a second menu level or a separate number for each line can send callers to agents who know that product. See skill based routing for how to do this with groups and agent priorities.
Queues, callbacks and opening hours
Each queue has its own hold messages, timeout and maximum length. Time conditions send after-hours calls to a message or to a smaller evening team. Missed callers appear on Voxdial’s undialed missed call list, and auto callback can dial them from an idle agent’s console during the hours you set. See call queue management for queue settings that keep waits short.
Logging every service request
The agent’s main job is to capture the request correctly the first time.
- Lead forms and custom fields in Voxdial hold the product, model, serial number, purchase date and fault description.
- CRM integration in the agent console pops up the customer record when they call, and agents can click to call from the CRM. If your service tickets live in a CRM or service system, open it in the agent console’s CRM tab.
- Dispositions such as “Visit booked”, “Resolved on call”, “Parts awaited” or “Escalated” show the outcome of every call. See call disposition codes for example lists.
Ask for the serial number or registered mobile number at the start, so the agent finds the right record quickly.
Coordinating technicians
Technician visits are where service often breaks down: the technician cannot find the address, the customer is not home, or the part is missing.
- A separate line for technicians. Give field staff their own number or extension group so they do not wait behind customers.
- Follow-me for supervisors. Service supervisors can have calls ring their mobile when they are away from the desk. See ring groups and follow-me.
- Service centres on one platform. Branches and service centres on one IP PBX call each other by extension at no call cost.
- Click to call from the ticket. Agents and supervisors call customers or technicians from the CRM with one click.
Keep customers informed on WhatsApp
Most “what is the status” calls disappear when the customer is told before they ask. The BitVoice Social Media Platform runs on the official WhatsApp Business API, and your service system can send updates through its HTTP API using approved templates:
- Request registered, with the request number.
- Technician assigned, with the visit date.
- Visit completed, with a link to rate the service.
- Parts arrived, with a button to book a visit.
Replies arrive in a shared inbox where agents answer them. Customers can also send photos or videos of the fault, which helps the technician bring the right part.
AI as backup, not a wall
Human first: agents answer first. When every agent is busy, for example after a power surge or during a summer peak for cooling products, a BitVoice AI voice agent can pick up instead of leaving callers on hold. It can take down the product and fault in 22 Indian languages, check request status through LiteBot tools connected to your system, and pass the caller to the next free agent with a summary. Callers can also get a WhatsApp or SMS chat link to continue in chat.
Measuring service quality
- Requests closed on the first call, for queries that do not need a visit. See first call resolution.
- Repeat calls about the same request, a sign that customers are not being updated.
- Abandoned and missed calls, and how fast missed callers are called back.
- Customer satisfaction after the visit, using a short survey.
Review the top dispositions every month. If many calls are about one model or one fault, share that with your product team.

FAQs
What is an after sales service call centre?
It is the helpline and team that handle service requests, complaints, warranty questions, installation bookings and technician coordination after a product is sold.
How do we reduce repeat status calls?
Send WhatsApp updates at each stage, from request registered to visit completed, using your service system and approved templates.
Can technicians use the same helpline?
It is better to give them a separate number or extension group, so they reach a coordinator quickly without waiting behind customer calls.
Can we track service requests in our existing CRM?
Yes. The agent console can open your CRM in a tab, pop up the customer record on each call and let agents click to call from it.
