Factories announce shift changes, hospitals page staff, schools ring bells, and offices need a way to reach everyone at once. Many still run a separate public address system with its own wiring and amplifier room. An IP PBX can do the same job over your existing network, from any phone. This guide shows how.
What is IP paging?
IP paging sends a voice announcement from a phone or a browser to a group of IP phones and IP speakers over your network. Because it runs on the phone system, any authorised user can make an announcement, and you can add or move speakers without new PA wiring.
Key features of paging on Voxdial IP PBX
| Feature | What it does |
|---|---|
| Paging groups | A paging number that reaches a set of phones and speakers |
| Zones | Group devices by area, such as Ground Floor, Warehouse or Block B |
| Priority stations | A higher-priority page, such as security, interrupts a lower one |
| Busy phones | Choose to skip, force or whisper to phones already on a call |
| One-way or two-way | Broadcast only, or let the far end talk back like an intercom |
| Pre-announcement | A beep or recorded chime before the page |
| Live broadcast | Start a page from the browser, without a phone |
| Scheduled announcements | Play a recording on a schedule, such as a shift bell |
Scheduled bells and announcements
Schedules play a recording to a paging group automatically: a factory shift-change chime, a lunch bell, a school period bell, or a daily safety reminder. You set the minute, hour, day and month, preview the schedule in plain language, and switch it on or off at any time.
Where IP paging is used
- Factories and warehouses: shift changes, safety alerts, calling supervisors to the floor.
- Hospitals: paging staff by ward or block, with priority for emergency announcements. See our hospital PBX guide.
- Schools and colleges: bells and campus-wide announcements. See PBX for schools and colleges.
- Offices and retail: reception announcements and store-wide calls.
Monitoring paging
A live view shows active paging sessions, how long they have run, and which devices are connected, so the operator knows an announcement reached its zone. The deployment map shows every phone and speaker, and whether each one is registered.
Moving from an old PA system
- List the areas that need announcements and group them into zones.
- Place IP speakers or use IP phones with loudspeakers in each zone.
- Create paging groups for each zone and one for the whole site.
- Set priorities so emergency and security pages override routine ones.
- Add schedules for bells and recurring announcements.

FAQs
Can an IP PBX replace a PA system?
For announcements, yes. Paging groups send announcements to IP phones and IP speakers by zone, with priorities and schedules, over your existing network.
Can we schedule automatic bells?
Yes. Voxdial schedules play a recording to a paging group at set times, such as shift changes or lunch breaks.
What happens if a phone is busy when a page starts?
You choose per paging group: skip the busy phone, force the page through, or whisper it to the user on the call.
Can someone talk back during a page?
Yes, if the paging group is set to two-way (duplex). One-way paging is used for broadcasts.
