In a busy call centre, some calls will always be missed: every agent is on a call, a caller gives up in the queue, or an agent steps away while the phone rings. What matters is what happens next. This guide explains how missed call management works in Voxdial Contact Center, from the moment a call is missed to the moment the customer is called back, in the agent console app and for supervisors.
Where missed calls come from
Voxdial records why each unanswered call ended, so you can fix the cause, not just the symptom:
| Outcome | What happened |
|---|---|
| No Answer | The call rang but no agent answered |
| Busy | The agent or line was busy |
| No Agents | No agent was logged in or available for the queue |
| Queue Timeout | The caller waited longer than the queue’s maximum wait |
| Cancel or Disconnected | The caller hung up before an agent answered |
| IVR abandon | The caller hung up inside the voice menu, before reaching a queue |
Step 1: The call keeps moving when an agent does not answer
When a call rings an agent who does not pick up, Voxdial moves that agent to a status you choose, so the next call is not offered to the same empty desk:
- Closure (default): the agent is taken out of the ringing rotation until they set themselves back from the agent console. The call continues to the rest of the queue.
- Available: the agent stays in rotation.
- Break or Paused: the agent is treated as away. If every agent in the queue is away, calls go to the queue’s no-agent destination.
The change applies to the next missed call immediately, with no agent re-login.
Step 2: Missed callers are called back automatically
Auto callback turns missed calls into a work queue for idle agents:
- Enable auto callback on the agents who should return calls.
- When one of those agents is idle and available for the callback interval (30 seconds by default), the agent console automatically dials the next missed caller who has not been called back.
- Auto callback runs only inside the active window you set, 08:00 to 20:59 by default, in your call centre’s time zone. Outside the window, missed calls wait for agents to return them manually.
Agents spend their quiet moments calling customers back, instead of waiting for the phone to ring, and nobody is called late at night. Supervisors can pause auto callback for everyone at once by closing the active window, without editing each agent.
Step 3: Agents see missed calls in the console app
The Voxdial agent console for Windows, Mac and Linux puts the built-in softphone, the CRM, WhatsApp and missed calls in one window. Agents see their own calls and talk time for the day with a count of missed calls still to return, and can call back missed callers from the console. When the agent calls back, the customer’s CRM record opens on screen, so the agent knows who they are calling and why. Desktop alerts let agents notice new calls even while working in another window.
Step 4: Supervisors work the callback list
Two reports turn missed calls into a clear to-do list:
Missed calls history
Each caller appears once, with a call count showing how many times they tried without being answered, plus the last agent, queue, date and outcome. A caller who tried five times is a priority. Filter by number, queue, agent, date or outcome, and export to a spreadsheet.
Undialed missed calls: the callback worklist
This list shows every missed caller who has not yet been called back, with how many times they called in (in count) and how many callback attempts have been made (out count). Once a number is successfully called back, it drops off the list. When the list is empty, every missed customer has been contacted.
The wallboard also shows callbacks pending live, so the whole team can see the backlog.
Step 5: Find out why calls were missed
Abandoned call reports show callers who hung up before reaching an agent, with how long each one waited first (the callback delay):
- Abandoned report: all abandoned calls.
- Queue abandoned report: which queues lose the most callers, a staffing signal.
- Agent abandoned report: which agents callers were waiting for.
- IVR abandoned report: callers who gave up in the voice menu, often a sign it is too long. See IVR call flow design.
If most callers hang up after about a minute, set the queue’s maximum wait below that and send them to a callback or another destination first. Read more about call queue management.
Step 6: Catch callers before they become missed calls
- Queue actions: play a message or send an SMS while callers wait.
- AI voice agent as backup: when no agent is free, a BitVoice AI voice agent can answer, take the details and pass the call back to the next free agent with a summary. Your agents always answer first.
- WhatsApp link: while every agent is busy, the caller can get a link to continue on WhatsApp or Instagram, answered from the shared inbox.
A daily missed call routine
- Morning: open the callback worklist for yesterday evening and overnight.
- During the day: auto callback works through missed calls whenever agents are idle.
- Watch callbacks pending on the wallboard; add agents to callbacks if it grows.
- Weekly: check abandoned reports by queue and IVR and fix the biggest cause.

FAQs
How does a call centre handle missed calls?
It records why each call was missed, calls the customer back, and tracks who still needs a callback. In Voxdial, auto callback dials missed callers when agents are idle, and a callback worklist shows anyone not yet called back.
What is auto callback in a call centre?
Auto callback makes an idle, available agent’s console automatically dial the next missed caller who has not been called back, at an interval you set and only within your working hours.
What happens when an agent does not answer a call?
The call continues to the rest of the queue, and the agent is moved to a status you choose. By default, Voxdial takes them out of rotation until they mark themselves available again.
How do I know which missed callers have not been called back?
The undialed missed calls report lists every missed caller still waiting for a callback, with how many times they called and how many callback attempts were made. Numbers drop off once called back.
Can agents return missed calls from the agent console app?
Yes. The Voxdial agent console shows each agent’s missed calls to return, and the customer’s CRM record opens when they call back.
