WhatsApp for Schools: Notices, Fee Reminders and a Parent Chatbot

Replace class WhatsApp groups with an official school number: a shared inbox, notices by name to parents who opted in, and a chatbot for routine questions.

Parent reading a school notice on a mobile phone outside a school gate

Parents already live on WhatsApp, so most schools use it for notices, homework and fee reminders. The problem is how. Class groups on teachers’ personal phones expose every parent’s number, notices get buried under replies, and when a teacher leaves, the history goes with them. This guide explains how schools can use WhatsApp properly, with an official school number, a shared inbox for the office, personalised notices and a chatbot that answers routine questions.

The trouble with class WhatsApp groups

Groups are easy to start and hard to run:

  • Every member sees every other parent’s phone number.
  • An important circular sits between dozens of “thank you” and “noted” replies.
  • Parents message teachers late at night on their personal numbers.
  • Nobody can see which parents actually received a notice.
  • When the class teacher changes, the new teacher starts from nothing.

An official setup on the WhatsApp Business API fixes these without asking parents to install anything new.

What the WhatsApp Business API gives a school

The BitVoice WhatsApp Business API platform runs on the official WhatsApp Cloud API with your school’s verified number. Instead of one phone, the office, accounts and class teachers work from one shared inbox in a browser:

  • Each parent’s chat is private, one to one with the school.
  • Any staff member with access can pick up a conversation and see its full history.
  • Instagram messages and website chat arrive in the same inbox.
  • Parents can also call the school on WhatsApp.

Each parent gets a profile, created from their first message. Staff can tag profiles, for example by class and section, and filter the inbox by tag.

Notices to parents, one by one, by name

A WhatsApp campaign sends one approved template to a list of parents, filling in each person’s own values. A fee reminder can read “Dear parent, the term fee for Ananya, Class 6B, is due on 15 June”, with the name, class and date different for every parent.

How it works:

  1. The office prepares a CSV or Excel sheet with phone number, parent name and the values for the template.
  2. An admin picks an approved template, maps the columns to the template variables and checks the preview.
  3. The campaign starts now or at a scheduled date and time.
  4. It sends in paced batches to protect the school number’s quality rating, and a report shows the result for every number.

A circular can go out as a document header, so parents receive the PDF itself rather than a link. For more on planning campaigns, read WhatsApp bulk message campaigns.

Only message parents who have agreed to receive WhatsApp messages from the school. Collect consent on the admission form, and keep campaigns to genuine school notices. Many blocks or reports lower your number’s quality rating and the number of messages you can send.

Templates and the 24-hour window

WhatsApp has one rule every school needs to know. Staff can reply freely only within 24 hours of the parent’s last message. To start a conversation, or to write after that window closes, the school sends an approved template. Templates are reviewed by Meta in advance, usually within minutes, and fall into categories such as Utility and Marketing.

Useful templates for a school:

TemplateExample use
Fee reminderTerm fee due date with student name and class
CircularA PDF notice with a one-line summary
Holiday or closureSchool closed tomorrow, with the reason
PTM invitationDate and time of the parent-teacher meeting
Transport updateBus delay on a route

When the parent replies, the window opens again and staff can answer in normal chat.

A school chatbot for routine questions

Most parent messages ask the same few things: school timings, the holiday list, the fee due date, the uniform shop or how to get a bonafide certificate. A bot flow answers these at any hour. It can show a WhatsApp list menu, ask a question and save the answer, call your school system for information, and hand the chat to a person when needed.

When the bot hands over, the chat moves to the office team with a reason shown to staff. A staff member takes over from the bot, answers, and can return the chat to the bot when done. Intent detection can also read a message such as “I want to talk to the class teacher” and transfer it to a person straight away.

Connect your school software

If your school ERP or fee system sends alerts, it can send WhatsApp templates through the platform’s HTTP API with an API key. For example, the fee system can send a receipt confirmation template when a payment is recorded, and the parent’s reply lands in the shared inbox like any other chat.

Where calls fit in

Parents still phone the school, especially at admission time. The campus phone system, IVR, paging and bells are covered in PBX systems for schools and colleges. For admission season, see how to run an admission helpline, and read how BitVoice works with education institutions.

FAQs

Is the WhatsApp Business API better than class groups for schools?

For official communication, yes. Each parent has a private chat with the school, parents’ numbers are not shared, staff work from one shared inbox, and notices go out by name with a delivery report.

Can a school send WhatsApp notices to all parents at once?

Yes. A campaign sends an approved template to a list from a CSV or Excel file, with each parent’s own values filled in, in paced batches with a report at the end. Send only to parents who have agreed to receive messages.

Can a WhatsApp chatbot answer parents’ questions?

Yes. A bot flow answers routine questions such as timings and holidays at any hour and hands the chat to staff when a person is needed.

Why can’t staff reply to a parent after a day?

WhatsApp allows free replies only within 24 hours of the parent’s last message. After that, staff send an approved template, and the conversation reopens when the parent replies.
