WhatsApp for Hotels: Chatbot, Instagram DMs and Guest Messaging

How hotels use WhatsApp, Instagram and website chat in one inbox, with a chatbot for routine questions, booking messages and WhatsApp calls for reservations.

Guests now ask hotels most of their questions on WhatsApp and Instagram: is a room free on these dates, what time is check-in, is there parking, can I get an early breakfast. If those messages sit unread on a manager’s phone, the guest books somewhere else. This guide explains how to use WhatsApp for hotels properly, with Instagram and website chat in the same place, a chatbot for routine questions and your team for everything else.

Why one phone is not enough

Many hotels start with the WhatsApp Business app on the front desk phone. It works until the hotel gets busy. Then only one person can reply, messages are missed during shift changes, nobody else can see the conversation, and there is no record when a guest says “but your staff told me”.

The WhatsApp Business API, which the BitVoice Social Media Platform uses through Meta’s official WhatsApp Cloud API, connects your number to software instead of one handset. Reservations, front desk and the duty manager can all answer from their own logins, and every conversation is kept. For a wider introduction, read WhatsApp Business API in India.

WhatsApp, Instagram and website chat in one inbox

Guests find you in different places. Someone who saw your pool on Instagram sends a direct message there; a guest who stayed before writes on WhatsApp; a new visitor uses the chat on your website. In the BitVoice platform all three arrive in one shared inbox, each with a channel badge (WA, IG or WEB), the guest’s name or handle and an unread count.

Staff can filter by tags such as “Reservations”, “Banquets” or “In-house guest”, so each team works on its own conversations. Next to each chat is the guest’s profile, built from their messages, so staff see the history before they reply. See WhatsApp and Instagram shared inbox.

A hotel WhatsApp chatbot for routine questions

Most guest messages are the same questions. A bot flow, built from connected steps (send a message, ask a question, branch on the answer, hand over to a person), can answer them at any hour:

Guest asksBot answers with
Check-in and check-out timesYour standard times and early check-in policy
Directions and parkingA short message with the location
FacilitiesPool, restaurant, gym and spa hours
Room availability or ratesTakes the dates and hands over to reservations

Intent detection reads each message and works out what the guest wants, then starts the right flow or transfers the chat to a person. It can use word rules, AI or both. When the guest asks for a person, or the question is about a booking, the chat moves to your team in the same thread. Read WhatsApp chatbot for customer support.

Messages before and after the stay

To start a conversation, or to reply more than 24 hours after the guest’s last message, WhatsApp needs an approved template. Templates are reviewed by Meta in advance and can carry the guest’s name and booking details:

  • Booking confirmation with dates and room type
  • Pre-arrival message with directions and check-in time
  • Thank-you message after check-out

Your booking system can send these through the platform’s HTTP API, or staff can send them from the inbox. Templates can also carry a Call on WhatsApp button, so a guest can call you in one tap. Send them only to guests who have agreed to hear from you on WhatsApp. For campaigns to past guests, follow WhatsApp’s rules and use only opted-in contacts; see WhatsApp bulk message campaigns.

WhatsApp calls answered by your team

Guests, especially those calling from abroad, often tap the call button in WhatsApp instead of dialling. With Voxdial Contact Center, those calls reach the same reservations queue as calls to your hotel number. Agents answer them from the same console, and they show in the same reports. Read hotel reservation call centre and WhatsApp Business calling.

When the team is busy

BitVoice is human first on every channel. On chat, the bot handles routine questions and hands over the rest. On calls, when no agent is free, a BitVoice AI voice agent can answer common questions in the guest’s language and pass the details to reservations with a summary. If every agent stays busy, the queue can send the caller a WhatsApp link so the conversation continues in chat instead of on hold.

Getting started

  1. Move your hotel number to the WhatsApp Business API. Keep the number guests already know.
  2. Connect Instagram and website chat. Your Instagram account must be a professional account.
  3. Build answers for the top questions. Check-in times, directions, parking and facilities.
  4. Set up tags for each team. Reservations, front desk and banquets.
  5. Write your templates. Confirmation and pre-arrival messages cover most needs.
