Every unanswered reservation call is a booking that may go to the hotel next door. Guests call at check-in time, at lunch, late at night from another time zone, and during a festival weekend when every line is busy. A hotel reservation call centre makes sure those calls reach a person, that missed callers are called back, and that guests who prefer to chat can do so on WhatsApp or Instagram. This guide explains how to set one up on Voxdial Contact Center, for a single hotel or a group of properties.
Why reservation calls get missed
Most hotels take reservation calls at the front desk. The same staff are checking guests in, handling requests and answering the phone. When two guests are at the counter, the phone rings out. The problem is not the number of staff, it is how calls are handled:
- Calls ring one or two phones with no queue behind them.
- Nobody sees which calls were missed or calls them back.
- Repeat guests and corporate clients wait in the same line as everyone else.
- After hours, calls go nowhere.
The room phones, wake-up calls and call restrictions are covered in our hotel PBX system guide. This guide is about the reservations line.
Queues instead of ringing phones
In Voxdial Contact Center, each phone number or IVR option points to an inbound group, such as Reservations, Banquets or Front Desk. A call is offered to the agent who has been free the longest, and agent priority from 1 to 9 decides who is offered calls first. Front desk staff can be set as backup, so they only get reservation calls when the reservations team is busy.
While callers wait, they hear music or announcements instead of ringing. Timed call actions can run in the background: after a minute, play a message that they can also book on WhatsApp; after a few minutes, move the call to an overflow group. Read call queue management for how to set targets and wait times.
Every missed caller called back
If a caller hangs up while waiting, they are not lost. The missed call is recorded once per caller, with a count of how many times they tried. With auto callback on, the agent console dials the oldest missed caller in that agent’s groups whenever the agent is free, only during the hours you set. Each number is taken by one agent at a time, so two agents never call the same guest.
Supervisors also get a worklist of missed callers who have not been called back yet. For a full process, read missed call management in a call centre.
Priority for repeat guests and corporate clients
Contacts in the address book can be given a VIP level from 1 to 9. Waiting VIP callers are handed to agents first, and agents see a VIP icon against them in the queue. Use it for travel partners, corporate accounts and regular guests, so the people who bring repeat business never wait behind a first-time enquiry.
AI voice agent for late nights and busy weekends
BitVoice contact centres are human first. Your reservations team answers every call it can. When no agent is free, or the desk is not staffed at night, a BitVoice AI voice agent can answer in 22 Indian languages. It can answer common questions such as check-in times, facilities and directions, take the guest’s name, number and dates, and pass the details to your team with a summary. It does not confirm bookings unless it is connected to your booking system.
Guests who prefer to chat
Many guests would rather message than call. With the BitVoice Social Media Platform, WhatsApp chats, Instagram Direct messages and website chat arrive in one shared inbox. A chatbot answers routine questions and hands the chat to a reservations agent when the guest needs a person.
Guests can also call your WhatsApp number. Those calls reach the same queues as phone calls, and agents answer them from the same console. See WhatsApp for hotels and WhatsApp Business calling.
One reservations desk for many properties
A hotel group does not need a reservations team at every property. With Voxdial, properties can share one central system or each run their own PBX linked by SIP trunks. The central reservations team takes calls for every property, transfers guests to the right front desk by extension, and each property keeps its own room phones.
| Set-up | How it works | Suits |
|---|---|---|
| One central system | Every property’s phones register to one Voxdial system | Small properties with a reliable internet link |
| A PBX at each property, linked | Each property keeps local lines and keeps working if the link fails | Larger hotels and resorts |
Read multi-branch office phone system for the design choices.
What supervisors see
The live wallboard shows calls waiting, the longest wait, agents by status, abandoned calls and the peak hour, with gauges against your service level target. Reports show every call with recordings, agent performance, missed calls and callers still waiting for a callback, with Excel export. Supervisors can listen to a call, whisper to coach an agent or barge in to help.
Getting started
- Separate reservations from the front desk. Give reservations its own number or IVR option and its own group.
- Set a service level target. For example, a share of calls answered within a set number of seconds.
- Turn on auto callback. Set the hours when callbacks are allowed.
- Tag your VIP contacts. Start with corporate accounts and travel partners.
- Add WhatsApp. Let guests chat and call on the same number they already know.

FAQs
What is a hotel reservation call centre?
It is a team, and the software behind it, that handles reservation calls through queues, so every call reaches an available agent, missed callers are called back and managers can see service levels.
How do we stop missing booking calls?
Use queues instead of ringing phones, and turn on auto callback so missed callers are dialled back automatically when an agent is free, within the hours you set.
Can one reservations team handle several hotels?
Yes. Properties can share one Voxdial system or link their own systems by SIP trunks, so a central team takes calls for every property and transfers guests by extension.
Can an AI voice agent take reservation calls at night?
As a backup, yes. When no agent is free, a BitVoice AI voice agent answers common questions and takes the guest’s details, then passes them to your team with a summary.
