A WhatsApp payment reminder gets read. An email invoice sits in a folder and an SMS gets lost among OTPs, but a short WhatsApp message with the amount, the due date and a link to pay is usually opened within minutes. That makes WhatsApp the natural place for invoice, fee, EMI, rent and subscription reminders in India. It also means a badly written or badly timed reminder is noticed, and can be reported. This guide covers how payment reminders work on the WhatsApp Business API, sample templates, when to send them, and how to keep them polite and within the rules.
Why WhatsApp works for payment reminders
- People read it. Most customers check WhatsApp many times a day.
- The customer can reply. “Paid yesterday”, “Can I pay on the 10th?” or “Send me the invoice again” come back in the same chat, where your team can answer.
- You can attach the invoice. A PDF or a payment link sits right under the message.
- It is cheaper than calling. A reminder message costs far less staff time than a reminder call, and the customer can deal with it when it suits them.
Reminders work best as one step in a sequence, not the only step. A message first, a gentle follow-up, then a call from a person for the accounts that still need it. For lenders, EMI reminder calls with AI voice agents covers the voice side.
How reminders are sent on the WhatsApp Business API
A business cannot message a customer out of the blue on the API. Outside the 24-hour window that opens when the customer writes to you, you must use an approved template: a fixed message with blanks for the customer’s details. Payment reminders are usually Utility templates, because they relate to something the customer already owes or bought. Marketing language (“Pay now and get 10% off our new plan!”) can push a template into the Marketing category.
On BitVoice’s Social Media Platform, a template body can be up to 1024 characters with numbered variables such as {{1}} and {{2}}, a document header for the invoice PDF, and buttons, including a website button whose link ends in a variable so each customer gets their own payment link. You can send reminders three ways:
- One at a time from the chat, using Send Template Message, when an agent is already talking to the customer.
- As a campaign to a list from a CSV or Excel file, with each row filling that customer’s own values. Campaigns send in paced batches to protect your number’s quality rating.
- From your billing or ERP system through the HTTP API. Your software calls the send-template endpoint with the phone number, template name, language and the values for each variable.
The API route suits reminders best, because your billing system already knows who owes what and when. See WhatsApp template messages for categories, variables and approval.
Sample payment reminder templates
Keep each one short, factual and specific. Variables are shown as {{n}}.
| Use | Sample body |
|---|---|
| Invoice due soon | Hi {{1}}, invoice {{2}} for Rs {{3}} is due on {{4}}. You can view and pay it using the button below. Reply here if you have any questions. |
| Due today | Hi {{1}}, a reminder that Rs {{2}} for invoice {{3}} is due today. If you have already paid, please ignore this message. |
| School or college fee | Dear parent, the {{1}} fee of Rs {{2}} for {{3}} is due on {{4}}. Pay online with the link below or at the school office. |
| EMI or loan | Hi {{1}}, your EMI of Rs {{2}} for loan account ending {{3}} is due on {{4}}. Please keep the balance in your bank account. |
| Subscription renewal | Hi {{1}}, your {{2}} plan renews on {{3}} for Rs {{4}}. Reply CHANGE if you want to update it. |
| Payment received | Hi {{1}}, we have received Rs {{2}} for invoice {{3}}. Thank you. |
The last one matters more than it looks. A thank-you confirmation stops the “did my payment go through?” calls and shows the customer you are not just chasing.
When to send
A simple sequence that most businesses can use:
- 3 to 5 days before the due date: a friendly heads-up with the amount and the link.
- On the due date: a short reminder, with “ignore if already paid”.
- 2 to 3 days after: a polite follow-up asking if there is a problem.
- After that: a call from a person, not more messages.
Send during working hours. A reminder at 10 pm feels like pressure. Stop the sequence the moment a payment is recorded, which is much easier when your billing system triggers the messages through the API than when someone uploads a list by hand.
Keep it polite and within the rules
- Have consent. The customer should have shared their WhatsApp number with you and agreed to get account messages there. See WhatsApp opt-in and quality rating.
- No threats or shaming. Do not mention legal action, visits, or family in a reminder. Besides being unpleasant, such messages get reported and blocked, which lowers your quality rating. Lenders should also follow their regulator’s fair practice rules.
- Only the customer. Send to the person who owes the amount, not to guarantors or relatives.
- Share less personal data. Use the last digits of an account number, not the full number.
- Make replies easy. A customer who replies “I lost my job, can I pay late?” needs a person, quickly.
Handle the replies
Reminders bring replies, and those replies are where money is recovered. Route them to a shared inbox where your accounts team can see the conversation. A bot flow can answer common replies first: send the invoice again, share bank details, or record a promised date, and hand anything else to a person. Tag profiles such as “promised-to-pay” so the team can follow up on the right day. If a customer wants to talk, agents in Voxdial Contact Center can take WhatsApp calls in the same queues as phone calls.

FAQs
Can I send payment reminders on WhatsApp?
Yes. On the WhatsApp Business API you send them as approved templates, usually in the Utility category, to customers who agreed to receive account messages on WhatsApp.
Can I attach an invoice to a WhatsApp reminder?
Yes. A template can have a document header for the PDF, and a website button can carry each customer’s own payment link.
Can reminders be sent automatically from my billing software?
Yes. Your billing or ERP system can call the send-template API with the customer’s number and the amount, due date and invoice number for that customer.
How many reminders should I send?
Usually one before the due date, one on the day and one polite follow-up after. After that, a call from a person works better than more messages.
